Automation for property management companies
We automate the back office of managing rentals for owners: monthly owner statements, rent reconciliation, maintenance requests and lease tracking. Your team keeps the tenant and owner relationships and spends less of the month in spreadsheets.
Five jobs that fill a property manager's month, and what we build for each
Owner statements every month
The problem At month end someone pulls rent, expenses and management fees for each property and builds a statement for every owner, often in a spreadsheet beside the property management software.
What we build Statements that assemble themselves from your software's exports and bank activity. A check flags anything unusual before they go out, such as a missing rent payment or a repair bill much larger than last month's.
What you get Statements that go out on time, and fewer owner calls asking what a line means.
Matching rent to the rent roll
The problem Rent arrives through the portal, ACH, checks and money orders, and the trust account has to agree with the rent roll every month.
What we build Automated reconciliation that matches each deposit to a tenant and a unit and lists only the payments that are short, late or unmatched.
What you get A trust account that ties out each month, with staff time spent on the exceptions.
Maintenance requests from every direction
The problem Tenants report problems by phone, text, email and the portal. Requests slip through, and vendor invoices arrive with no clear link to the job.
What we build One intake that logs each request, sorts it by urgency and sends it to the right vendor. When the invoice comes in, it is matched to the work order before anyone pays it.
What you get Fewer dropped requests, and no paying twice for the same repair.
Lease terms buried in PDFs
The problem Renewal dates, rent increase dates, deposits and special clauses sit inside signed PDFs, and someone has to remember them.
What we build Lease reading that pulls the main terms from each lease into one tracker and sends reminders ahead of renewals and scheduled increases. A person confirms anything the system is unsure about.
What you get No missed renewals, and an answer about any lease without opening the file.
The same questions, answered one by one
The problem Tenants and owners ask the same things again and again: when rent is due, how to report a repair, what the lease says about pets.
What we build An AI assistant that answers from your own policies, leases and procedures, shows where each answer came from and passes anything unusual to a person.
What you get Fewer interruptions for your staff, and the same answer to the same question every time.
What a first project looks like
We start with one process. Owner statements and rent reconciliation make a good first project because the work repeats every month and the result is easy to check. We agree on a fixed price and a finish line before we start.
Questions owners ask
Do we have to change our software?
No. We build around the tools you already use, such as your property management software, your bank and your email.
Where does our client data go?
It stays in systems you control. We agree on what access we need before work starts, and each automation runs inside your own accounts.
What does a first project cost?
Each project has a fixed price that we agree on before work starts. We set it after a short call about the process you want to automate.
How do you make sure deadlines are met?
Before work starts we agree in writing on the scope, the price and the delivery date. You get progress updates along the way, and if anything puts a date at risk you hear about it early, with a plan to keep it.
